Why some of our team feel lonely in December, and what we try to do about it

January is just about the most popular time for sending out postal campaigns to schools – be they catalogues or sales letters with brochures.

December on the other hand is also a time when companies that do promote to schools tend to use emails – which means our colleagues in the warehouses can start to feel a little neglected.

And so, in response, we have our “Prepare in December, Post in January” offer.  

If you are planning a postal campaign in January, and you can let us have your materials in time for us to fill the envelopes, run the addresses, and sort the mail to get the postal discounts in December, we’ll give you a 30% discount on the envelopes, labels and labour. 

To be clear, this doesn’t mean that we will post your items in December (unless you specifically ask us to).  Rather we will do the work in December, and then store the materials until the despatch date you nominate.

Not only will you get our 30% discount on mailing fees, but you’ll also get the postal discount that comes from bulk mailing. Given that this can result in you paying under half of the postage cost that you would have paid if you had used postage stamps, this is quite a considerable saving.

Timing is important in this offer. We need to be able to complete the work for you before we finish for Christmas on 20 December.  We will then be able to post it any time after our return on 2 January.

But I must add a word of warning. Quite often we are asked if we can fit in another mailing with about a week to go before our closure date – and quite often by then we are fully booked.  It is far better to book the mailing in sooner rather than later if you want to be sure of getting the discount.

Update your school database with de-duped list

 

 

What is the easiest way of adding all the missing addresses etc to your own list UK schools?

If you already have your own list of schools but you know that it is missing some schools we can run your database against ours, find the schools that we have which you don’t have listed, and then supply you with just that list.

Better still, our data will include not just each school’s name and postal address, but also the phone number and the generic email address of the school.

So if you have 2,000 secondary schools on your list and you want the rest of the schools added, that’s what we will do – and you will then have that list available for you to use as often as you wish for the next 12 months.

The cost is just 24p per address supplied plus £25 for the de-duplication process.  So if we only find 1000 schools missing from your database then we supply them for 24p x 1000.

If you don’t already have your own postal list we can help as well, providing all the schools that you require, selected by location and by age range.   The price does depend on how many schools you take – but can go as low as 18p each for a one year licence.

This “one year licence” means that you can take the data and use it for your own business as many times as you wish for postal mailing, emailing, and telephoning.   Where you then have contact with the school (for example, by making a sale) that data then becomes yours, and you can continue to use it for as long as you wish.

Where you don’t have any contact with the school, the licence for use ends after one year.  Alternatively if you wish to buy the list for eternal re-use or for just a one-off use, this is also possible – please do call 01536 399 000 and we can go through the options with you.

Mail teachers at their personal email addresses for around 4p each

 

 

We believe that advertising to schools in December can be extremely worthwhile.  So to prove it, we’ve cut the price dramatically.

For the month of December we are offering each of our secondary school personal email lists at £99 plus VAT per list.  These are lists of teachers and managers at their own personal email address (an address such as J.Smith@myschool).  They are not generic lists (such as office@myschool etc etc).

For simplicity our charge is £99 irrespective of the size of the list, but as always with such offers there are a few special points to note. However I’ve tried to keep them to a minimum.

First off we have a strict limit of four emails going to each list per week, and once we reach that number of bookings for any particular teacher, that’s the end. Some slots have already been booked for our Velocity customers so it will be worthwhile booking in as fast as possible.

Second, if you want to reserve a place, the booking must be made by email (Sales@hamilton-house.com) or fax 01536 399 012.

Third, your booking will be for some time during the week you choose – we can’t give a specific date.

Fourth, we need the email copy by the Tuesday of the week before despatch. This should be supplied either as an HTML file or a Word file.  If it is a word file it cannot include any illustrations and must be text only.

Ensuring the teacher actually reads

 

 

There is one type of email to teachers that gets read far more avidly than all the rest.

Here’s what one headteacher wrote to me in an email. The head had just received a copy of Education Management News. (to which she is a subscriber) and had written back, giving an opinion on a topic raised therein.

I replied, as the author of the original, and as always thanked the correspondent for reading the newsletter. She wrote back...

One of the few useful emails I get, actually; and I often forward them to staff and governors, so THANK YOU!

That comment typifies the readership of Education Management News. They subscribe to it and stay with it, because they find it helpful and useful. If they didn’t they wouldn’t bother.

Don't treat December as a dead month

 

 

Guess which month was the most profitable for the educational publisher “First and Best” in 2012.

Given the subject line and the headline above you won’t be surprised to know that the answer is December.  But it still comes as a surprise if you share the widely held view that December is a month where nobody in schools buys because they are all too busy doing Xmas things.

The reality is that for the vast majority of teachers December is another teaching month – although one cut short because of the holidays (which this year commence on Saturday 21st December). 

And yes, there are interruptions to classes for rehearsals and special occasions, such as the school panto, but because there are fewer classes to prepare these actually give most teachers more rather than less time for making purchases in December.

Of all the three terms in school, the January to Easter term (sometimes erroneously called the “Spring Term” despite the fact that most of it takes place in Winter) is regarded by many teachers as the most challenging.  The weather often precludes outdoor activities, there is no Christmas to look forward to and no let up of the type one gets when the exam season starts and students go on study leave.

So teachers often feel the need to get ready for the “spring” term, and they have time to do it in December.  Hence the record sales level in December experienced by First and Best – a firm that Hamilton House owns.

Now when I mentioned this fact to a customer of Hamilton House last week I was told that the month had been poor for his company.  We talked about it for a moment, and quickly the reason became clear.  He had not been doing much advertising in December. 

First and Best on the other hand kept advertising right up to the end of term – which not only meant that they got orders until the end of term – but there was also a little flurry of orders waiting when the company returned to work in January.  Some teachers had ordered in the period between Xmas and New Year, using home computers and mobile devices.

And of course, since not many firms advertise in December, there is less competition for those who do.

So how might one advertise during December?

Email is the most obvious answer (as the post still tends to get fairly busy at this time of year despite the move across to digital communication).

Email schools worldwide

 

 

Canada, Australia, New Zealand, Ireland - and the results are not the same in each country.

One of the benefits of Hamilton House's ownership of several companies that sell to schools is that I'm forever offered the chance to experiment with the advertising (without taking risks with our customers' advertising!!!)

Such was the case earlier this year with a set of advertisements that went out for the Hamilton House owned company: The Dyscalculia Centre.

Identical adverts (save, of course, for the currency) offering on-line assessments and downloadable teaching resources went out to schools in Australia and the Republic of Ireland.

Sales to Australia were poor - and we're now looking at why this was so.

But sales to Ireland were extraordinary - we find we've hit a really exciting market.

Now I make this point because I do sometimes talk with Hamilton House customers who say that they have tried overseas schools and nothing much came of it.

My response would be that each country is different and has different requirements, and that you do have to be ready to experiment with the way you write the email in each country.

The shared mailing

In a shared postal mailing your leaflet travels with around 10 other items in a pack which goes to the school administrator. 

The top item is the regular newsletter from the School of Educational Administration and Management (the association that runs courses and distributes regular news for school administrators and bursars).  This newsletter grabs the administrator’s attention and incorporates a list of the leaflets enclosed, with details of whom they are to be forwarded to.

Delivery and despatch

The cost of the mailing is: £435 for one leaflet, £560 for two leaflets.  There is a small weight charge if the leaflet/s weigh over 15g.  (A sheet of A4 8gsm bond usually weighs 5g or 6g.)

Selling to teachers - getting the sale now.

 

 

You know the market, and the background information is on-line.  Now for the quick response orders.

In the last two articles on selling to teachers I’ve written about the need to understand teacher attitudes and the market place, rather than just assume that teachers will buy your product because you announce it.

I’ve also written about the need to ensure that when teachers go looking for information about the sort of product or service you sell they are going to find your company and your data.

Now comes the third part of selling – sending out adverts that themselves bring in immediate enquiries or, better still, sales.

The first thing to note is that many companies rush into part three – the search for immediate sales – without working through part one (understanding the wants and needs of teachers) and part two (which effectively establishes your credibility by giving you lots of references on the internet).

It is true that you don’t have to go through points 1, 2 and 3 in the order I have set them out, and indeed point 2 (in terms of setting up and running a blog) is generally a very long term process.   But using this order of activity does mean that the adverts you create for the immediate sales are going to be more effective.

The issue of getting sales can itself be divided into three parts: the medium, the message and the stats.

The prime media for immediate sales from teachers are postal direct mail and email.  Each one has all sorts of options such as shared postal mailing (www.shared.org.uk), solo postal campaigns and various types of email lists (see www.emails.gs)

Exactly which medium you use will depend on many issues – and if you would like to discuss these, please do call 01536 399 000.  But what you do need to do is check that the data you are using is suited for the purpose you are using it for.

For example, a campaign using the low cost generic email lists is rarely going to be suitable for selling large numbers of products – but can be good for giving away helpful information.  Likewise, if you are selling software and you have a sample of the program available, selling to teachers’ personal email addresses is liable to be more effective than a postal campaign.

My second point, after the media, was the message, and this demands at the very least an article in itself – I’ll come back to that and the topic of the statistics that each marketing campaign can deliver, and how they need to be used, in a later article.
